Ravo Motors(“we”, “us”, “our”) respects your privacy. This Policy explains what personal information we collect when you use our website, request a quote, or buy a vehicle from us, and how we use and protect that information.
1.Information we collect
We collect the following categories of personal information:
- Contact details you provide when you enquire or place an order: full name, email address, WhatsApp or phone number, country and city of delivery.
- Identity and compliance documents we are required to verify under shipping and customs rules: passport or national ID, tax identification number (KRA PIN, TIN, etc.), and proof of address where the destination country requires it.
- Order details: the Vehicle you have selected, payment receipts, shipping addresses, Bill of Lading, and any messages you exchange with our sales team.
- Technical data: IP address, browser type, device type, pages visited, and referring URL, collected automatically through cookies and similar technologies. See our Cookie Notice.
2.How we use your information
- To respond to your enquiries and provide quotations.
- To process orders, arrange shipping, issue invoices and Bills of Lading, and complete pre-shipment inspection.
- To communicate with you about your order via email, WhatsApp, phone or SMS.
- To comply with anti-money-laundering, sanctions, customs and tax obligations in Japan and the destination country.
- To improve our website, listings and services through aggregated, non-identifiable analytics.
- To send you, with your consent, occasional marketing about new stock and promotions. You can opt out at any time using the unsubscribe link in any email or by replying STOP to a WhatsApp message.
3.Legal basis for processing
We process your information on the following bases, depending on the activity:
- Performance of a contract: to fulfil your order and deliver the Vehicle.
- Legal obligation: to comply with shipping, customs, tax and anti-money-laundering rules.
- Legitimate interest: to operate, secure and improve our website and services, and to prevent fraud.
- Consent: for non-essential cookies and for marketing communications.
4.Who we share information with
We do not sell or rent your personal information. We share it only with the parties needed to complete your order or comply with the law:
- Inspection bodies: JEVIC, QISJ, EAA and similar pre-shipment inspectors, who require chassis number and destination details.
- Shipping lines and freight forwarders: to issue the Bill of Lading and book vessel space.
- Banks and payment processors: to receive your payment and issue receipts.
- Customs authorities and port operators: in Japan and in the destination country, where required by law.
- Service providers: hosting, email, analytics and customer-support tools that we have contracted with under appropriate confidentiality obligations.
- Government, regulators and law enforcement: where we are legally required to disclose information.
5.International transfers
Because we ship vehicles from Japan to multiple African countries, your information will be transferred between Japan, your destination country and the countries where our service providers operate. We rely on contractual safeguards and the legitimate purpose of fulfilling your order to make these transfers lawful.
6.How long we keep your information
We retain order records (invoices, Bills of Lading, KYC documents) for at least 7 years to comply with Japanese tax and customs law. Marketing contact details are kept until you unsubscribe. Website analytics data is retained in aggregated, non-identifiable form.
7.How we protect your information
- Our website uses HTTPS encryption end to end.
- Access to customer records is restricted to authorised staff on a need-to-know basis.
- Payment is by direct bank transfer to our Japan business account. We never store full card numbers and never request card details by email or WhatsApp.
- If we ever suffer a breach affecting your personal information, we will notify you and the relevant regulator without undue delay.
8.Your rights
Depending on the country you live in, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Ask us to delete information we no longer need to keep, subject to our legal record-keeping duties.
